Position Summary
EO Tulsa is looking for someone who genuinely enjoys the craft of running an organization well — someone who finds satisfaction in a clean membership pipeline, a well-prepared board packet, and a member question answered before anyone had to ask twice. You'll be the operational partner to the Chapter Board, working closely with the President, Board Chairs, and EO Global/Regional staff to serve a community of roughly 40-50 local entrepreneurs. The Board provides strategic leadership, you provide operational continuity, and together you create a chapter experience that feels organized, informed, relational, and high-trust.
This role is broader than pure administration. You are the operational hub and knowledge center of the chapter, keeping open loops moving between meetings, routing questions, supporting Chairs, running events end-to-end alongside the relevant Chair, and making sure board decisions actually get executed. The role is Tulsa-based, though most work happens remotely — monthly in-person board meetings and running chapter events require being in person.

Key Responsibilities
Membership Pipeline & Administration
Manage the membership pipeline from inquiry through application, qualification review, board interview, conflict check, dues collection, onboarding, Forum training, and placement.
Review applications against current EO qualification requirements and coordinate next steps with the Membership Chair and Board.
Schedule Board interviews (typically via Zoom), distribute the member conflict check after board approval, and collect dues once cleared.
Maintain a single source of truth for members, prospects, and sponsors, and work with the Engagement Chair to track 30/60/90-day engagement.
Event Coordination & Execution
Coordinate and run chapter events end-to-end (roughly 12/year, with 2-4 large events plus smaller happy hours and gatherings), working with the Learning Chair on the calendar but owning execution.
Confirm purpose, date, budget, and venue direction; respect budget constraints and close out each event with a retro, attendance tracking, and updated checklists/templates/SOPs.
Deliver events that provide a WOW for members with proactive communication before, during, and after.
Board & Governance Support
Prepare for monthly board meetings, capture notes, document decisions/votes, and identify action items with owners and due dates.
Complete board minutes within one week and track action items between meetings without absorbing work that belongs to a Chair.
Maintain bylaws, policy documents, and historical records; support officer elections and onboarding of incoming board members.
Financial & Dues Administration
Act as Accounts Receivable/Payable for the chapter under the Finance Chair's direction.
Assist with a first-draft annual budget, maintain the expense log, and prepare monthly summaries.
Route approved invoices through QuickBooks and collect chapter dues once membership is approved and cleared.
Communications & EO Liaison
Coordinate concise member communications about events, updates, and required actions, including event and annual surveys.
Update EO Tulsa's social channels and website; serve as liaison to EO Global/Regional via monthly admin calls.
Systems, Records & Continuity
Keep the Operational Dashboard current as the daily command center for open loops, decisions, and risks.
Maintain SOPs/playbooks for each board seat and support smooth board transitions.
Compliance & Recordkeeping
Track chapter recertification/renewal deadlines set by EO Global (renewals completed by June 30) and maintain records for the chapter's legal standing, including insurance documentation.
Track Forum training/placement status and schedule required facilitation sessions.
What Success Looks Like in the First 90 Days
Learn the SOPs/playbooks for each board seat and update them with each Chair.
Run at least one chapter event end-to-end, with a retro and updated materials.
Onboard and learn existing systems and EO Global interfaces.
Participate in, then help run, an EO Board meeting.
Reporting Structure
Reports to the Chapter President, with regular coordination with the Finance, Membership, Forum, and Learning Chairs and other board leaders. Since every EO Board Member is a volunteer, there is significant autonomy in this position.
What We're Looking For
Proactivity above all — someone who anticipates needs, not someone who needs frequent reminders.
A demonstrated ability to run events independently and a track record of fixing clunky processes unprompted.
Strong organizational skills and comfort running recurring cycles (dues, renewals, minutes, pipeline, events) with reliable follow-through.
A reliability mindset: it's okay not to know everything, as long as you follow up.
Tulsa-based, able to attend the monthly in-person board meeting and evening chapter events.
Proficiency with Google Workspace and comfort learning tools like QuickBooks, Stripe, and the EO network site.
Association, EO/YPO, or nonprofit/membership experience preferred but not required — proactivity, event execution, and documentation matter more.
Discretion and confidentiality given access to member financial/business information and Forum-related logistics.
Schedule, Location & Compensation
Part-time, independent-contractor position paid as a flat monthly retainer of $3,200–$3,500, covering a baseline of roughly 15–20 hours/week (workload varies with event weeks, board transitions, and dues renewal). The role is Tulsa-based and mostly remote, with the monthly in-person board meeting and evening events attended in person; EO Tulsa covers travel to outside events the role is invited to. This role does not include benefits, as is standard for contractor engagements; standard contractor terms apply (confidentiality, work-product ownership, non-disparagement, 90-day written termination notice).
